Distributor applicant guide

Know what you will need before you begin.

A promotional-products distributor can have an expressly unvetted Free Basic Listing. This guide covers the separately elected Vetted Partner track: independent review with no separate application or vetting fee, a market-ready enhanced profile, and the later paid membership choice required for public Vetted Partner status.

Distributor applications are open

A completed application is stored in a restricted owner-review workspace. We do not collect payment or card information in the application. Automated email is not yet connected, so save the reference number shown after submission.

Prepare once

Before you start

Set aside the business details and contacts below before beginning. Every required item must be complete before the application can move into a final decision.

  • Your name, title, work email, business phone, and authority to apply for the company.
  • Legal and public business names, website, headquarters, service areas, years in business, and business model.
  • Your strongest one to three profile specialties, broader capabilities, industries, niches, typical project range, and response expectations.
  • A short “Why work with us?” statement written for prospective buyers.
  • Exactly three customer references and two supplier references that meet the requirements below.
  • One candid example of a project or order that did not go as planned and how your company handled it.
  • Relevant association identifiers, credentials, certifications, compliance information, and evidence supporting material profile claims.
  • Any personal, family, ownership, employment, financial, operator, ConceptPlus, or Promostuff relationship that could affect an independent review.

Your application

Business facts, expertise, and buyer fit

Structured information helps buyers find relevant experts. Your application should be accurate, specific, and supportable. Do not overstate geographic reach, production capability, credentials, response time, or project experience.

A Free Basic Listing may remain claimed or unclaimed, is expressly not vetted by iMerch Finder, receives basic self-service support, and appears only under Additional distributors without a Vetted Partner badge or priority. Applicants who elect and pass the separate review receive an Enhanced Vetted Partner Profile only after it is market-ready and paid membership is active.

Required evidence

Exactly five independent business references

  • Three customers who purchased the applicant’s promotional-products services.
  • Two suppliers that sold or fulfilled relevant products or services for the applicant.
  • Five different people from five different organizations, using distinct business email addresses.
  • Each relationship must include work completed within the 36 months before the application.
  • References must be independent and free of undisclosed personal, family, ownership, employment, or financial conflicts.
  • You must have permission to provide each contact and for iMerch Finder to approach that person about the business relationship.

All five must be verified

Approval is unavailable until all three customer references and both supplier references qualify and are verified. An unreachable, conflicted, withdrawn, or unqualified reference must be replaced by another reference of the same type.

Candor matters

Tell us how you handled a difficult project

We do not ask applicants to submit a deliberately negative reference. Instead, every applicant provides a service-recovery account: a real situation where something went wrong or changed and the company had to respond.

  • What happened and what responsibility the company accepted.
  • How quickly and clearly the customer was informed.
  • What corrective action or options were provided.
  • The actual outcome, including any limitation that remained.
  • What process or control changed afterward.
  • Which customer can confirm the material facts when reasonably possible.

Do not identify unrelated individuals or include card information, health information, government identifiers, personal addresses, credentials, or unnecessary customer or supplier secrets.

Information boundaries

What may appear publicly—and what stays restricted

A Free Basic Listing includes basic business facts, general location and coverage, public contact channels, claim status, and a claim or correction path. An Enhanced Vetted Partner Profile may also include verified capabilities and service details, permissioned and moderated testimonials, work photos, a project gallery, and selected work or case studies. Featured Vetted Partners also display “Paid Advertisement.”

D&B and other legal identity details, reference identities and responses, service-recovery evidence, reviewer notes, decision reasons, complaint files, buyer briefs and contact details, and payment records remain restricted. They are not published as profile or testimonial content without separate permission and are handled under the Privacy Notice and applicable operational requirements.

Human review

What happens after submission

  • Submitted: the application has been received and assigned a reference number.
  • Completeness review: required fields, reference qualifications, permissions, and obvious conflicts are checked.
  • Under review: business identity, claims, evidence, recovery account, and references are evaluated.
  • More information requested: a specific correctable gap or qualified replacement reference is needed.
  • Approved: the evidence standard is met and profile preparation may begin.
  • Declined: a factual eligibility, evidence, integrity, safety, conflict, or material-reliability basis prevents approval.
  • Withdrawn: the applicant asks to stop or the approved nonresponse procedure is completed.

A named human reviewer makes consequential decisions. Automated checks may validate or flag information, but they do not make an unexplained final approval or decline. Applicants may correct information, withdraw, or use the stated appeal process when available.

Only after approval and readiness

Free visibility and Vetted Partner membership

Free Basic onboarding has no fee and is not vetting. The separate Vetted Partner application and independent review also have no fee. An applicant who passes review first authorizes the exact enhanced profile content. Once it is market-ready, the distributor may activate paid Vetted Partner membership through the website. Without active membership, the public entry remains a Free Basic Listing.

  • Free Basic Listing: $0, expressly not vetted, with no Vetted Partner badge or priority.
  • Vetted Partner Monthly: $99 automatically billed monthly until canceled under the membership terms.
  • Founding Vetted Partner: $799 prepaid for the first 12 months.
  • Vetted Partner Annual: $999 prepaid for 12 months, saving $189 compared with monthly billing.
  • A paid term begins only after independent approval and profile readiness, when the distributor separately authorizes it and valid payment activates Vetted Partner membership.
  • Membership does not guarantee leads, sales, organic ranking, territory, exclusivity, or return on investment.
  • Featured visibility may be offered only to a current Vetted Partner and appears in the Featured Vetted Partners group with the exact “Paid Advertisement” disclosure.
